Why this matters

Most agencies are running their operations across half a dozen disconnected tools.

A typical support coordination agency has its consumer records in one system, billing in another, staff records and credentials in a spreadsheet, EVV in a separate app, prior authorization tracked in email threads, and surveys captured in some external survey tool. Each system has its own login, its own data shape, and its own gaps. The administrator running the agency spends a meaningful chunk of every week reconciling between them.

CT Agency Suite is built to replace that patchwork. Every module — the operations dashboard, staff management, automated billing, SCPA prior authorization, EVV admin, document management, surveys, real-time monitoring — runs on a unified data model with one login. A consumer's record connects to their visits, their billing, their plans, and their authorizations. A staff member's record connects to their credentials, their training hours, their assigned consumers, and their EVV activity.

The suite ships with Ella, an AI teammate that works inside every module — drafting notes, summarizing histories, surfacing compliance risks, and answering operational questions in seconds. Ella sees only what the signed-in user is allowed to see, and every AI-assisted action lives in the audit trail.

What replacing the patchwork unlocks
  • One login — staff stop juggling four sets of credentials
  • One data model — consumer, plan, visit, billing, staff all connected
  • One audit trail — every action across every module attributable and timestamped
  • One support team — people who actually know the product, not Tier 1
  • One pricing relationship — not five vendor contracts to renegotiate
Modules in CT Agency Suite

Every operational discipline an agency needs — in one platform.

Operations dashboard

A single home for the day: birthdays, expiring plans, expiring Medicaid, plans by status, billed-vs-paid, remittance, and team workload. The first screen administrators check each morning.

Staff management

Active staff, supervisor hierarchy, credential tracking, scheduling, payroll integration, training hours by category and year, and performance evaluations — in one place instead of three spreadsheets.

Automated billing

One-click claim generation, 835 ERA remittance ingestion, denial tracking with reason codes — without bouncing between your billing system and your case management system.

SCPA prior authorization

Support Coordination Prior Authorization with queues, reviewer assignment, status tracking, and dashboards. NJ-specific workflow with multi-state import support.

CT EVV admin

Visit list with alert filters, GPS map, staff path tracking, signature capture, admin notes, and printable summaries — the office-side view of what your direct-care staff is doing in the field.

Surveys and quality assurance

Built-in feedback loops for staff and families. Generate evidence for state audits and QA reviews without exporting to a separate survey tool.

Document management

Centralized upload and management with organization-wide visibility and consumer-level attachment. Retention rules and audit logs apply automatically.

Integrated e-signature

Finalize service plans, consent forms, and contracts inside the suite — e-signature is built in, not a bolt-on, and lives on the same audit trail as everything else.

Real-time monitoring

Live oversight of agency health, system usage, and performance metrics. See issues before they become incidents.

What it looks like in practice

A few ways teams use this.

Agency director Monday morning

You log in once. The dashboard shows you which plans expire this week, which Medicaid eligibilities lapse this month, billed vs paid for the prior period, and team workload heat-mapped by coordinator. Three actions handle the highest-priority items. The fragmented Monday-morning ritual of opening five tabs and reconciling spreadsheets is gone.

Billing manager closing the month

Claims generated and submitted from the same record system that holds the visits and plans they bill against. 835 ERA imports automatically. Denials show with reason codes and link to the specific consumer record. Reconciliation is a worklist, not an archaeology project.

QA doing an internal record review

Pull a list of consumers for an internal review, drill into each one, and see plans, MT history, MH/SCS Checklist completion, signed documents, and EVV visit log on a single record. Anything missing is flagged. The review that used to require stitching evidence from four systems happens on one screen. (SCPA stays scoped to the biller, out of the QA view.)

Frequently asked

What agencies ask before joining the early-access program.

When will CT Agency Suite be available?

CT Agency Suite is targeting general availability in 2026, with an active early-access program now. Early-access partners get direct input into module priorities, hands-on training, a dedicated migration plan from PNB or other systems, and founding-customer pricing.

How is CT Agency Suite different from PNB?

PNB is the current production platform, focused on the day-to-day work of support coordinators — consumer records, MT visits, MH/SCS Checklist completion, billing, EVV. CT Agency Suite is the next-generation successor with a modular architecture, broader scope (staff management, surveys, integrated e-signature, real-time monitoring, full document management, dashboards, assignable tasks), and an AI teammate (Ella) woven throughout. When the suite is ready, existing PNB customers will be migrated to it — this is a forced cutover with full support (same data, same team, hands-on training).

Can we use only some modules instead of the whole suite?

Yes. The suite is modular by design. Agencies that only need staff management and billing can use those without adopting EVV admin or surveys. Modules share the same login and data model, so adding more later is straightforward.

What's Ella, and is the AI optional?

Ella is the AI assistant built into the suite — drafting visit notes, summarizing consumer histories, flagging compliance risks, answering operational questions in plain English. Ella is woven into the screens but not required — teams can use the suite without engaging the AI. When Ella is used, every AI-assisted action lives in the audit trail and respects the user's permissions.

How does single sign-on work across CozziTech products?

CozziTech runs a unified identity layer. Sign in once and the same credentials work across CT Agency Suite, CT Signature, CT EVV, and every future CozziTech product. MFA is enforced once and applies everywhere. Provisioning and deactivation are centralized — adding or removing a staff member is a single action.

Is data isolated between agencies on the platform?

Yes, strictly. Multi-tenant architecture with per-agency data partitioning at the database layer. There is no cross-tenant data access. HIPAA-aligned controls, role-based access within an agency, and a unified audit trail apply on top of that isolation.
